Privacy Notice


Introduction

This Privacy Notice is hereby adopted in compliance with Republic Act No. 10173 or the Data Privacy Act of 2012 (DPA), its Implementing Rules and Regulations, and other relevant policies, including issuances of the National Privacy Commission. DCCCO Multipurpose Cooperative (referred herein as “(DCCCO) respects and values your data privacy rights, and makes sure that all personal data collected from our members, vendors, partners, employees, affiliates and other stakeholders, are processed in adherence to the general principles of transparency, legitimate purpose, and proportionality.


This Privacy Notice explains:

  • What information we collect and why we collect it.
  • How we use that information and to whom we may. disclose it
  • The choices available for you to manage your. personal information
  • What rights you have in relation to your personal. data
  • How we protect your personal information.

Definition of Terms

Whenever used in this Privacy Notice, the following terms shall have their respective meanings as hereinafter set forth:

  • “Data Subject” – refers to an individual whose personal, sensitive personal or privileged information is processed by the organization. It may refer to officers, employees, consultants, and clients of this organization.

  • “Personal Data” ─ refers to all types of personal information, including privileged information; • “Personal Information” – refers to any information whether recorded in a material form or not, from which the identity of an individual is apparent or can be reasonably and directly ascertained by the entity holding the information, or when put together with other information would directly and certainly identify an individual.

  • “Sensitive Personal Information" ─ is personal information that includes your age, date of birth, marital status, social security and other government identification numbers, and financial information

  • “Privileged Information” - is any and all forms of data which, under the Rules of Court and other pertinent laws, constitute privileged communication.

  • “Processing” - refers to any operation or any set of operations performed upon personal information including, but not limited to, the collection, recording, organization, storage, updating or modification, retrieval, consultation, use, consolidation, blocking, erasure or destruction of data.


Personal Data We Collect

As part of our dealings with you, we may collect your personal data including:

  • Your name, gender, marital status, name of your spouse, age, date of birth, address, contact numbers, email address, proof of identification and any other information relating to you which you have provided us in submission of any form as a result of our interaction with you

  • Your bank account number and information about your existing loans/financing that you provide us in availing of our products and services

  • Your work-related information regarding your company, and dates of hiring, salary level/grade and employment regularization

  • Your employment history, education background and resume when you apply for a job with us


Collecting Personal Data

We may collect and store your Personal Data in a variety of ways:

  • When you fill out attendance form during membership seminars and other coop activities
  • When you apply for membership or loans with us by filling out either a manual application form or online application form
  • When you interact with our customer service associates through phone, email, private messages or social media comments
  • When you provide personal information for your inquiries, requests, and complaints
  • When you respond to surveys, marketing promotions, and other initiatives
  • When you submit a job application
  • When you visit, browse and use any of the services on our website
  • When we receive references from third parties or our business partners (i.e when you have been referred by them)
  • When you submit your personal information to us for any other reason

Personal Data Other Than Yours

When you disclose to us another person’s personal data (i.e your spouse, children and/or parents), you attest that consent has been obtained from that person to disclose and process personal information in accordance with this policy.


Use and Disclosure of Personal Information

DCCCO Multipurpose Cooperative (DCCCO) collects, uses and discloses your personal data where we are permitted by law and for the following purposes, but not limited to:

  • Manage your account, provide customer care activities, and provide services timely and efficiently
  • Communicate relevant services, advisories including responses to your queries, requests and other concern related to your membership and our services
  • Participate in any promo, special event and CSR activities of the Cooperative
  • Provide information about our products and services which may be of interest to you
  • Processing your application for employment, when you submit an application with us
  • Comply with the requirements of the law and legal proceedings such as court orders; comply with legal obligation or to prevent imminent harm to public security safety or order
  • To prevent, detect and investigate crime, including fraud and money laundering, and to analyze and manage other commercial risks
  • Process information for statistical, analytical, promotional and research purposes


Disclosure of your Personal Information

A. We may disclose your personal information to the following authorized persons as reasonably necessary and within the limits provided by the DPA depending on the product and service concerned:

  • Our employees, officers and consultants
  • Third party service providers that have been contracted by DCCCO Multipurpose Cooperative to provide technical and other services
  • Professional advisers such as lawyers and auditors, and cooperative consultant
  • Insurers, receivable financing companies and credit providers
  • Any third-party businesses offering goods and services or sponsor contest or other marketing and promotional programs;

B. We may disclose your personal information:

  • to the extent that we are required to do so by law;
  • in connection with any ongoing or prospective legal proceedings;
  • in order to establish, exercise or defend our legal rights (including providing information to others for the purposes of fraud prevention and reducing credit risk;
  • to the buyer or prospective buyer of any business or asset that we are contemplating to sell or are selling
  • other competent authority or government agencies, such as the courts or other authority would likely order disclosure of such personal information as mandated by law governing their
  • functions.

C. Any company with which we share information about you for the above purposes is contractually required to comply with confidentiality standards, undertake to respect any individual’s right to privacy and comply with the DPA. We also require that these organizations use this information only for our purposes and follow our reasonable directions with respect to this information. This includes organizations which handle or obtain Personal Data as service providers for DCCCO Multipurpose Cooperative (DCCCO).


Internet

Personal information that you publish on our website or submit for publication on our website may be available online and around the world. We cannot prevent the use or misuse of such information by others.


Accessing and Updating Your Personal Information

You can access and update your personal information by complying the documentary requirements in our Membership and Loans Management System (MLMS).


Personal Data Retention and Schedule

We keep your data only for as long as necessary and as required by law:
1. For the fulfillment of the declared, specified, and legitimate purposes provided above, or when the processing relevant to the purpose has been completed or terminated;
2. For the establishment, exercise or defense of legal claims; or
3. For other business purposes that are consistent with standards established or approved by regulatory agencies governing DCCCO Multipurpose Cooperative, such as the Cooperative Development Authority and other government agencies. Thereafter, your personal data shall be disposed or discarded in a secure manner that would prevent further processing, unauthorized access, or disclosure to any other party or the public.


Withdrawal of Consent

If you wish to withdraw your consent given for any or all purposes set out in this Privacy Notice, you may visit our office or the branch where your membership belong. Depending on the nature of your consent withdrawal, DCCCO Multipurpose Cooperative may not be in a position to continue to provide our products and services to you.


Third Party Websites

Our websites may contain hyperlinks and details of third-party websites. We have no control over, and are not responsible for, the privacy policies and practices of third parties. We therefore advise you to study their Privacy Notice. Once you leave our website, you should check the applicable Privacy Notice of the third-party website to determine how they will handle any information they collect from you.


Cookies and Similar Technologies

A cookie is a small file which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added and the cookie helps analyze web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences. Management and Security

In compliance with the DPA and this Privacy Notice, a Data Protection Officer for DCCCO Multipurpose Cooperative has been appointed to manage and safeguard the handling of your Personal Data. DCCCO management is committed to ensure that its Privacy Notice is constantly reviewed, monitored and enhanced. DCCCO regards personal data breaches very seriously.


Updates to the Policy

DCCCO Multipurpose Cooperative (DCCCO) will amend this Privacy Notice from time to time to apply changes due to new laws and regulation affecting the DPA, and changes in our business operations and environment. Any change on this policy will be posted on DCCCO Multipurpose Cooperative’s website for your guidance and information.


What rights you have in relation to your personal data

If you have any questions about our use of your personal data, you should first contact us via the details provided below (at the last portion of this notice). Or visit our office during Tuesday to Saturday, from 8AM to 5PM. Under certain circumstances and in accordance with DPA or other applicable data protection laws, you may have the right to require us to:

  • provide you with further details on the use we make of your information
  • provide you with a copy of information that we hold about you;
  • update any inaccuracies in the personal data we hold;
  • delete any personal data that we no longer have a lawful ground to use;
  • where processing is based on consent, to withdraw your consent so that we stop that particular processing;
  • object to any processing based on the legitimate interests ground unless our reasons for undertaking that processing outweigh any prejudice to your data protection rights; and
  • restrict how we use your information while a complaint is being investigated.


How we protect your personal information.

DCCCO Multipurpose Cooperative recognizes that information security is an integral element of data privacy. While no data transmission (including over the Internet or any website) can be guaranteed 100% secure from intrusion, DCCCO is committed in protecting your data and implements a range of commercially reasonable physical, organizational, technical and procedural measures to help protect personal data from unauthorized access, use, disclosure, alteration or destruction in accordance with data privacy law requirements.

Information that you provide to us is stored on our or our service providers’ secure servers; accessed and used only subject to our security policies and standards, or those agreed with our service providers. Everyone at DCCCO and any third-party service providers we may engage are also contractually obligated to respect the confidentiality of personal data as mandated by the Data Privacy Act of 2012.
